What personal information do we collect and why?

We collect personal information only for the purposes identified below, and only to the extent necessary to fulfil those purposes. The specific personal information we collect includes:

  • Name (first and last): To identify you, personalize communications, and address you in correspondence related to our services.
  • Email address: To respond to inquiries, send project updates, deliver requested information, and (with your consent) send marketing communications.
  • Phone number: To contact you about project matters, respond to service requests, and provide support.

Our website is regularly scanned for security vulnerabilities to ensure your visit is as safe as possible. We use regular Malware Scanning.

All sensitive/credit information you supply is encrypted via Secure Socket Layer (SSL) technology.

We implement various security measures when users place orders, enter, submit, or access their information to maintain the safety of their personal information.

All transactions are processed through a gateway provider and are not stored or processed on our servers.

Do we use cookies?

Yes. Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your web browser (if you allow), enabling the site’s or service provider’s systems to recognize your browser and capture and remember certain information. For instance, cookies help us remember and process the items in our shopping cart. Third-party sharing and disclosure

  • Payment processors: To process payments securely. We do not store credit card or payment information on our servers.
  • CRM platforms: To manage client relationships and project communications.
  • Advertising platforms: Such as Google Ads, to deliver relevant advertisements. These platforms may receive non-personally identifiable information.

All third-party service providers are contractually required to protect your personal information and may only use it for the specific purposes for which it was shared. We may also disclose your personal information where required by law, regulation, or court order, or to protect the rights, property, or safety of Hyperweb, our clients, or the public.

Data retention and destruction

We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. Our specific retention practices are as follows:

  • Contact form submissions: Retained for up to 2 years from the date of submission, or until the inquiry has been resolved, whichever is later.
  • Client project records: Retained for the duration of the client relationship plus 3 years, for reference and continuity purposes.
  • Marketing mailing lists: Retained until you withdraw consent or unsubscribe, at which point your information is removed within 30 days.
  • Financial/transaction records: Retained for 7 years as required by Canadian tax law.
  • Website analytics data: Anonymized data is retained according to Google Analytics default settings (26 months).

When personal information is no longer required, it is securely destroyed, deleted, or anonymized. Digital records are permanently deleted from our systems and backups. We take reasonable steps to ensure that third-party providers also destroy your information in accordance with this policy.

Third-party links

Our website may contain links to third-party websites. We are not responsible for the privacy practices of those websites and encourage you to review their privacy policies before providing any personal information.

Google

Google’s advertising requirements can be summed up by Google’s Advertising Principles. They are put in place to provide a positive experience for users.

We use Google AdSense Advertising on our website. As a third-party vendor, Google uses cookies to serve ads on our site. Google’s use of the DART cookie enables it to serve ads to our users based on previous visits to our site and other sites on the Internet. Users may opt out of using the DART cookie by visiting the Google Ad and Content Network privacy policy.

We have implemented the following:

  • Google Display Network Impression Reporting
  • DoubleClick Platform Integration

We, along with third-party vendors such as Google, use first-party cookies (such as the Google Analytics cookies) and third-party cookies (such as the DoubleClick cookie) or other third-party identifiers together to compile data regarding user interactions with ad impressions and other ad service functions as they relate to our website.

Opting out

Users can set preferences for how Google advertises to you using the Google Ad Settings page. Alternatively, you can opt out by visiting the Network Advertising Initiative Opt Out page or by using the Google Analytics Opt Out Browser add-on.

We will notify you of any changes to this privacy policy on our Privacy Policy Page. You can change your personal information by emailing us or by logging in to your account.

How does our site handle Do Not Track signals?

We honour Do Not Track signals and do not track, plant cookies, or use advertising when a Do Not Track (DNT) browser mechanism is in place.

Does our site allow third-party behavioural tracking?

Yes, we allow third-party behavioural tracking.

COPPA (Children Online Privacy Protection Act)

We do not specifically market to children under 13 years old. We do not let third parties, including ad networks or plug-ins, collect PII from children under 13.

Fair Information Practices

To be in line with Fair Information Practices, we will take the following responsive action should a data breach occur:

  • We will notify you via email within 30 days.

We also agree to the Individual Redress Principle, which requires that individuals have the right to legally pursue enforceable rights against data collectors and processors who fail to adhere to the law. This principle requires that individuals have enforceable rights against data users and recourse to courts or government agencies to investigate and/or prosecute non-compliance by data processors.

CAN-SPAM Act

We collect your email address to:

  • Send information, respond to inquiries, and/or other requests or questions.
  • Process orders and send information and updates about orders.
  • Send you additional information related to your product and/or service.
  • Market to our mailing list or continue sending emails to our clients after the original transaction.

To be in accordance with CAN-SPAM, we agree to the following:

  • Not use false or misleading subjects or email addresses.
  • Identify the message as an advertisement in some reasonable way.
  • Include the physical address of our business or site headquarters.
  • Monitor third-party email marketing services for compliance if one is used.
  • Honour opt-out/unsubscribe requests quickly.
  • Allow users to unsubscribe by using the link at the bottom of each email.

If at any time you would like to unsubscribe from receiving future emails, you can email us at [email protected] or follow the instructions at the bottom of each email, and we will promptly remove you from ALL correspondence.

Your rights under PIPEDA

Under Canadian privacy law, you have the right to:

  • Request corrections to inaccurate or incomplete personal information.
